Learn how to export your customer data, conversation history, and contacts from Groove HQ before migrating to a new platform.
How to Export Your Data from Groove HQ
Groove provides conversation exports in JSON format only — no CSV option. Account Owners and Admins can request an export from Settings → Company → More → Exports. Only one export can be processed at a time, and large accounts may wait up to 72 hours for completion.
Request Your Export
Navigate to Settings → Company → More → Exports in your Groove account. Click the "Request Export" button in the top right corner. Your export enters a FIFO queue — processing time depends on your conversation volume and how many other Groove customers are exporting simultaneously. You can only have one active export request at a time.
Export Format and Contents
Groove exports all conversation data in JSON format, following their v1 Tickets API "full" conversations structure. This includes ticket metadata, messages, and customer information. There is no CSV export option — if you need spreadsheet-compatible data, you'll need to convert the JSON file yourself after downloading. The export arrives as a GZIP-compressed archive.
Downloading Your Export
Groove emails you when the export is ready. Download it from the same Settings → Exports page. The download links are stored on Amazon S3 and expire after a very short time — they cannot be shared or reused. For security, each click generates a fresh temporary link. If your link expires, return to the Exports page and click Download again.
What Groove Doesn't Export
Groove's export covers conversation data only. Your Instant Replies (canned responses), Rule automations, Smart Folder configurations, and Knowledge Base articles are not included. Document these manually before canceling — screenshot your Rules from Settings → Rules, copy your Instant Replies text, and export Knowledge Base articles individually if needed.
Using the API for Custom Exports
If you need more granular control, Groove offers a GraphQL API (v2) and a legacy REST API (v1). The GraphQL API provides access to conversations, messages, agents, contacts, and more. You can query specific date ranges or customer segments. API access is available on all plans, though the Pro plan includes "Advanced API access" with higher rate limits.
Tip: Start your export request several days before your planned migration. Large exports can take up to 72 hours, and you cannot cancel or queue additional exports while one is processing.
