Export Your Data
Part of the Hiver migration guide
Learn how to export your customer data, conversation history, and contacts from Hiver before migrating to a new platform.
How to Export Your Data from Hiver
Hiver's Gmail-native architecture means your email conversation data already lives in Gmail — but Hiver-specific metadata (tags, assignments, SLAs, notes) needs separate export. There's no single "export everything" button, so you'll use a combination of Gmail, Hiver's analytics reports, and the Hiver REST API.
Export Conversation Data (Gmail)
Because Hiver operates as a layer on top of Gmail, your raw email conversations remain in your Google Workspace account even after you stop using Hiver. All emails sent and received through shared mailboxes (support@, billing@, etc.) are stored in Gmail. You can use Google Takeout (takeout.google.com) to export all Gmail data in MBOX format, or access emails directly through Gmail's interface. This gives you the full conversation text but not Hiver's metadata like assignees, tags, or SLA tracking.
Export Hiver Metadata (REST API)
Hiver provides a REST API at api2.hiverhq.com/v1 for programmatic data access. Use GET /v1/inboxes to list all shared mailboxes, then GET /v1/inboxes/{inbox_id}/conversations to retrieve conversations with their Hiver-specific data: assignees, status (open/pending/closed), and tag IDs. The API supports pagination with configurable limits (10–100 results per page). Generate an API key from Hiver Admin Panel → Developer Settings → Create App. Rate limits: 1 request per second, 5,000 requests per day. For large datasets, implement exponential backoff on 429 responses.
Export Analytics Reports
Hiver's analytics section (Growth plan and above) provides downloadable reports on conversation metrics, response times, SLA performance, and CSAT scores. Navigate to Analytics in the Hiver sidebar, select the report type (Conversations, Users, Tags, or SLA), set your date range, and export as CSV. Custom reports (Pro plan) can be exported the same way. These reports serve as a performance archive and help you set baseline metrics on your new platform.
Document Templates and Automations
Hiver's Templates (canned email responses) and Rule-based Automations (Growth+) cannot be bulk-exported. Screenshot or manually copy each template's content and each automation's trigger conditions and actions. If you use Hiver's auto-assignment rules (round-robin), note the assignment groups and order. Document any CSAT survey configurations, SLA policies with their priority levels, and business hours settings.
Contact Data
Hiver's Contacts feature stores customer profiles with conversation history, phone numbers, and custom fields. Export contacts through Hiver's reporting features or use the API. If you also maintain contacts in Google Contacts, export those separately via Google Takeout. Hiver offers free migration assistance — contact [email protected] and they'll help export your data at no extra cost.
Tip: Since Hiver sits on top of Gmail, your raw email data survives the migration automatically — it stays in your Google Workspace account. Focus your export efforts on Hiver-specific metadata: tags, notes, assignment history, and automation rules that only exist within Hiver's layer.
