Migration Guide for Agencies
Part of the Whelp migration guide
How agencies managing multiple clients can migrate from Whelp to a more cost-effective platform.
Agency Migration from Whelp
Agencies managing support for multiple clients on Whelp face compounding per-seat costs: every agent across every client account increases the bill. With no multi-account discount or agency-specific pricing on self-service plans, costs scale linearly. The Premium plan offers whitelabel and custom pricing but requires contacting sales and typically involves annual commitments.
Per-Seat Costs Across Client Accounts
Whelp bills per seat per account. An agency managing 5 client accounts with 3 agents each on Standard ($29/seat): 15 seats × $29 = $435/mo ($5,220/yr). The same setup on Advanced for AI chatbot features ($79/seat): 15 seats × $79 = $1,185/mo ($14,220/yr). Each new client contract adds more seats to the total, and each seat is billed at the full per-seat rate regardless of how many accounts you manage. There's no volume discount on self-service plans.
Whitelabel Requires Premium
Removing Whelp branding from the chat widget and presenting a client-branded experience requires the Premium plan — which has custom (non-public) pricing, requires contacting Whelp sales, and typically involves dedicated onboarding and personalized SLAs. For agencies where professional branding is essential for every client, this means either paying premium pricing for every account or accepting "Powered by Whelp" on client-facing widgets. There's no middle-ground add-on for whitelabeling on Standard or Advanced tiers.
Client-by-Client Migration Strategy
Migrate one client at a time to minimize risk. Start with your lowest-volume client to validate the process. For each client: export their contacts from Whelp's CRM, document their channel configurations and active integrations (Shopify, Stripe, etc.), set up a new account on your target platform, connect their specific channels (WhatsApp, Messenger, widget, email), recreate their Saved Responses as Quick Replies, and configure routing rules. Run both platforms in parallel for 1-2 weeks per client before decommissioning that client's Whelp account.
Agent Assignment Across Clients
On Whelp, agents handling multiple client accounts need access to each separate account. On your new platform, set up each client as a separate company with its own channels and team members. Agents who serve multiple clients will need separate login credentials per company — or your platform may support account switching. Map out which agents serve which clients before starting, so you can invite them to the correct accounts during setup.
Cost Impact for Agencies
An agency managing 5 clients with 3 agents each on Whelp Standard: $435/mo. The same setup on a $49/month-per-company flat-rate platform: $245/mo — saving $2,280/year. For agencies on Whelp Advanced (needed for AI chatbot): savings jump to $11,232/year. With a flat-rate model, adding a 4th agent to any client account doesn't change the price. With Whelp, it adds $29-79/mo per account where that agent works. The per-seat model penalizes agencies for scaling their teams.
Note: Whelp's Premium plan may offer negotiated pricing for agencies managing many accounts, but it requires contacting sales and committing to custom contracts. If you're evaluating alternatives, calculate your total cost across all client accounts and all agent seats — not just the per-seat price for a single account.
