How to Export Your Data from Respond.io

Respond.io provides a built-in data export tool under Workspace Settings > Data settings > Data Export. You can export four data types: Contacts, Conversations, Messages, and Failed Messages. The feature is available to Workspace Owners and Managers on all paid plans.

Export Contacts

Go to Workspace Settings > Data settings > Data Export and select Contacts as the data type. No date range is needed for contacts — it exports all contacts in the workspace. The export downloads as a CSV file that includes names, phone numbers, emails, custom fields, tags, and lifecycle stage. You can also export user data separately via Settings > Users > Export Users for a lookup of agent details.

Export Conversations and Messages

Select Conversations or Messages from the data type dropdown, then choose a date range. The date range is limited to one year maximum per export request. Conversation exports include metadata (open/close times, assigned agents, tags, channels). Message exports include the actual message content with timestamps and sender information. Failed Messages exports help you identify contacts who didn't receive outbound or broadcast messages.

Export Limitations

Only one data export job runs at a time per workspace. If a job is already processing, you need to wait before starting another. Each exported file remains available for download for 7 days — after that, you'll need to re-request it. If an export takes longer than 15 minutes, the job is automatically dismissed, and you can retry after a 30-minute cooldown. You'll receive a notification when the file is ready in the Data Export History table.

Developer API Export (Growth Plan and Above)

If you're on the Growth plan ($159/mo+) or above, the Developer API offers programmatic access to contacts and conversations. Navigate to Workspace Settings > Integrations > Developer API to generate API keys. This lets you build custom export scripts for larger datasets or integrate with external data warehouses. API rate limits vary by plan.

What You Cannot Export

Respond.io does not provide bulk export for Workflow automations, AI Agent configurations, Broadcast templates, Growth Widget settings, or custom channel configurations. Document these manually before switching — screenshot your workflow builder rules, copy your message templates, note your AI Agent guidance text, and record your channel connection details. If you use CRM integrations (HubSpot, Salesforce), verify that your CRM retains its own copy of the synced data.

CSV Special Characters

Respond.io automatically prepends a special character indicator (') before characters like =, +, -, @, tabs, and semicolons in exported CSV files. This is a security measure to prevent formula injection. You'll need to remove these indicators before processing the exported files in another platform or spreadsheet application.

Tip: Start with a Contacts export and a Messages export for the last 12 months. These two files give you a complete snapshot of your customer base and conversation history. Run the Conversations export separately if you need metadata like resolution times and agent assignments for reporting.
