Learn how to export your customer data, conversation history, and contacts from Olark before migrating to a new platform.
How to Export Your Data from Olark
Olark is primarily a live chat tool — not a full CRM — so your exportable data consists mainly of chat transcripts, visitor details, and agent activity logs. There is no single "export all data" button, but admins can pull transcript reports as CSV files from the Reporting section.
Export Chat Transcripts (CSV)
Go to Reports → Export Transcripts in your Olark dashboard (or visit olark.com/reports/email). Select a date range and Olark will email you a CSV file containing detailed data for each chat: start/end times, duration, agent nickname, visitor name, email, phone, location, browser, OS, referrer, word count, feedback ratings, tags, custom fields, and conversation IDs. This is the most comprehensive export Olark offers. Note: transcript export requires a paid plan — free plan users don't have access to transcripts or reporting at all.
Transcript Details and History
Individual transcripts on the Transcripts page (olark.com/transcripts) include the full conversation text, visitor profile, browsing behavior during the chat, agent commands used, notes added via the !note command, and a history log showing profile updates over time. You can search and filter transcripts by keyword, date, agent, or tag. For each transcript, a sidebar shows the visitor's complete profile and links to their previous conversations. Save or screenshot important transcripts before canceling — deleted transcripts cannot be restored.
Custom Fields and Tags
If you used Olark's JavaScript API to set custom visitor fields (olark.configure("visitor.updateCustomFields")), these appear as separate columns in the CSV export (e.g., custom_field_ABC). Tags applied during chats using the !tag command also appear as individual columns (e.g., tag_sales, tag_billing). Document any custom field names and tag naming conventions you've established — you'll want to recreate these as customer tags on your new platform.
Shortcuts (Canned Responses)
Olark's Shortcuts — pre-written responses agents trigger with !shortcut_name during chats — cannot be exported in bulk. Navigate to your Shortcuts settings and manually copy each one. Note the trigger name and response text for each. You'll recreate these as Quick Replies on your new platform.
Automation Rules
Olark's Automation Rules (targeted chat messages, group routing rules, and triggered behaviors) are configured in the dashboard under Automation. These can't be exported — screenshot or document each rule's conditions and actions. Common automations include greeting messages based on page URL, visitor location, or time on site. Record these so you can rebuild equivalent workflows on your new platform.
Integration Data (CRM, Helpdesk)
If you connected Olark to Salesforce, HubSpot, Help Scout, Zendesk, or other tools via Olark's integrations, chat data that was pushed to those systems remains there independently. Check your CRM for any Olark-synced contact data. The !send command was used to forward individual transcripts to integrations — those forwarded records stay in the destination system after you leave Olark.
Tip: Run your CSV export for the broadest date range possible before canceling your Olark plan. Once you downgrade to the free plan, you lose access to transcripts, reporting, and the export function entirely.
