Moving WhatsApp Business from Olark
Olark's WhatsApp integration is a Pro-only feature with its own separate billing ($100-$400/month depending on message volume). The connection is set up through Meta's embedded signup flow at app.olark.com/whatsapp/embedded-signup, which creates a WhatsApp Business Account (WABA) specifically linked to Olark. Migrating requires disconnecting from Olark and reconnecting through your new platform.
Step 1: Review Your Olark WhatsApp Setup
Olark's WhatsApp setup creates a WABA under your Meta Business Portfolio (formerly Meta Business Manager). Verify you have admin access to the Meta Business Portfolio that was used during setup. Check whether your Meta Business Portfolio has completed Meta Business Verification — this determines your messaging rate limits and whether your display name shows instead of just the phone number. Note your WhatsApp Business display name, category, and phone number.
Step 2: Understand the WABA Relationship
Olark's setup documentation explicitly warns: "Do not select WABAs that have been created outside of Olark." This means Olark creates its own WABA for your number during the embedded signup process. Your phone number and Meta Business Verification status are tied to your Meta Business Portfolio — not to the Olark-created WABA specifically — so they survive the migration. However, you may need to create a new WABA when connecting to your new platform.
Step 3: Disconnect from Olark
Contact your Olark account manager to disconnect WhatsApp from your Pro plan — the WhatsApp integration doesn't have a simple self-service toggle like basic features. In your Meta Business Portfolio → WhatsApp Manager (business.facebook.com/wa/manage), verify the phone number has been released from Olark's webhook routing. Allow a few minutes for the disconnection to propagate through Meta's systems.
Step 4: Connect to Your New Platform
Use your new platform's WhatsApp OAuth flow to reconnect the same phone number. Your Meta Business Verification status, display name, and business profile carry over since they're stored in Meta's system. If two-factor authentication was enabled on the WABA, you may need to disable it before initiating the transfer. The reconnection typically takes 2–5 minutes.
Cost Savings After Migration
Olark's WhatsApp pricing ($100-$400/month for 1K-10K messages) is a significant add-on cost on top of per-agent fees. Many platforms include WhatsApp as part of their base subscription without separate messaging charges. Factor this into your migration ROI — the WhatsApp add-on alone may cost more than your entire subscription on a flat-rate platform.
Important: Plan the switchover during low-traffic hours. There will be a brief gap (minutes to hours) between disconnecting from Olark and connecting to your new platform where incoming WhatsApp messages won't be routed.
