How to Export Your Data from Kustomer

Kustomer offers four distinct export methods — Export Buddy, reporting exports, saved search exports, and API exports. Only Admins and Organization Owners have access to export data. No free trial or free plan exists, so ensure you export everything before canceling your subscription.

Export Buddy App (Quick Export)

The Export Buddy app exports current users, teams, snippets, shortcuts, conversation tags, and knowledge base articles as CSV files. Install it from Apps → Explore Directory, search for "Export Buddy," and download it. Once installed, it appears in your downloaded apps sidebar. This is the fastest way to get your team structure and canned responses out of Kustomer, but it does not export customer data or conversation history.

Reporting Exports (Conversations, Customers, Messages)

Go to Kustomer's Reporting section to export Conversation, Customer, Message, and Note objects. You can select a 30-day time window (historical time is unlimited) and up to 25 attributes per export. Exports can be scheduled on a one-time, daily, weekly, or monthly basis, with multiple email recipients. This is your primary method for getting customer contact data and conversation metadata out of Kustomer.

Saved Search Exports (Targeted Data)

Any saved search in Kustomer can be exported. Searches return conversations, messages, and custom object data updated within the past 2 years — data updated more than two years ago is excluded. The maximum export size is 50,000 rows (calculated by multiplying search results by the number of selected attributes). This method works well for exporting specific segments of your customer base.

API Export (Full Flexibility)

The Kustomer API offers the most flexibility for data extraction. Use it for custom bulk exports, automated data syncing, or extracting data types not covered by the UI exports. Note that machine users are subject to API rate limits: 1,000 requests per minute on Enterprise, 2,000 on Ultimate. For large datasets, use date-range filters and pagination to work within these limits.

What You Cannot Export Easily

Business rules (automations and workflows), conversational assistant configurations, custom timeline layouts, and routing queue settings are not included in any export format. Document these manually: screenshot your workflow conditions and actions, copy your snippet text, and note your SLA policy thresholds and routing rules before canceling your account. Custom objects (KObjects) tied to integrations like Shopify may need to be exported via API.

Tip: Start with Export Buddy for team data and snippets, then use reporting exports for customer and conversation data. If you have more than 50,000 customer records, you'll need to split reporting exports by date range or use the API for a complete extraction.
