Moving WhatsApp from Chatwoot to a New Platform

Chatwoot connects to WhatsApp via the WhatsApp Cloud API using either Embedded Signup or Manual Setup through the Meta Developer Console. Your WhatsApp Business number and verified status are tied to your Meta Business account, not to Chatwoot itself.

Step 1: Identify Your Connection Method

Check whether you connected via Embedded Signup (the guided Meta flow) or Manual Setup (where you configured tokens and webhooks yourself in the Meta Developer Console). Go to Settings › Inboxes in Chatwoot and find your WhatsApp inbox to review the connection details. If you used Embedded Signup, Chatwoot automatically configured your webhooks and system user — you'll need to reconfigure these when switching.

Step 2: Save Your Template Messages

If you've created WhatsApp message templates (for campaigns or notifications), these are stored in your Meta Business Manager, not in Chatwoot. They'll persist after disconnecting. However, document any templates you use regularly so you can reference them in your new platform.

Step 3: Disconnect from Chatwoot

In Chatwoot, go to Settings › Inboxes, select your WhatsApp inbox, and delete it. This removes Chatwoot's webhook subscription. If you used Manual Setup, also go to your Meta Developer Console and remove the Chatwoot webhook URL from your WhatsApp Business app's webhook configuration.

Step 4: Connect to Your New Platform

In Converge, use the WhatsApp OAuth flow to connect the same phone number. The process takes about 5 minutes. Your verified business status, display name, and phone number carry over because they belong to your Meta Business account. Note that WhatsApp in Converge is reply-only — you respond to customer-initiated conversations.

Number Portability Considerations

A WhatsApp Business phone number can only be registered with one BSP (Business Solution Provider) or platform at a time. You cannot connect the same number to both Chatwoot and another platform simultaneously. Plan the switchover during low-traffic hours to minimize the gap where incoming WhatsApp messages aren't routed.

Note: If you were using WhatsApp campaigns (available on Chatwoot's Business plan and above), be aware that Converge handles WhatsApp differently — it's designed for responsive customer support rather than outbound campaign broadcasting.

Timing tip: WhatsApp message delivery is near-instant once the new webhook is configured. The total downtime between disconnecting from Chatwoot and connecting to your new platform is typically 10-30 minutes if you prepare both sides beforehand. Have your Meta Business account credentials and new platform ready before removing the Chatwoot inbox.
