How to Export Your Data from Whelp
Whelp provides data export through its CRM module and reporting system. Contact data can be exported directly from the CRM interface, and reports offer an export function for analytics data. There is no single "download everything" button — you'll use different features depending on the data type.
Export Customer Contacts (CRM)
Navigate to the CRM section in your Whelp dashboard. Whelp's CRM page includes an Export your customer data feature that lets you download contact records. The export includes customer names, email addresses, phone numbers, tags, and any custom fields you've configured in your CRM tables. If you've created saved segments (filtered groups of contacts based on specific criteria), consider exporting each segment separately for easier organization. Whelp also supports custom table fields, so verify that your exported data captures any non-standard columns you've added.
Export Reports and Analytics
Whelp's Reporting section offers export functionality across several report types: company reports, agent reports, chatbot reports, tag reports, and integration reports. Use the Export Reports feature to download analytics data for archival. Set the custom range filter to cover your entire usage period before exporting. These reports include metrics like average handling time, first response time, channel-specific performance, and chatbot effectiveness — useful for benchmarking after your migration.
Document Conversation History
Whelp stores conversations across all connected channels in its unified inbox. While you can access and review individual conversations through the inbox interface, bulk conversation export may require contacting Whelp support or using their API if available. For compliance or archival purposes, document or screenshot critical conversation threads before canceling your subscription. Note: your new platform will start fresh with new incoming conversations — historical data serves as an archive, not an import.
Document Chatbot Flows
If you used Whelp's drag-and-drop chatbot builder (Advanced plan, $79/seat/mo), your chatbot flows, condition rules, and automated response sequences cannot be directly exported. Screenshot each flow in the builder, noting the trigger conditions, response paths, and any branching logic. If you trained Whelp AI with custom data or FAQ content, save the original source materials — the training data itself isn't portable between platforms.
Save Templates and Saved Responses
Whelp's Saved Responses feature stores canned replies that agents use for common inquiries. These can't be bulk-exported — copy each response's text manually and save it in a spreadsheet or document. You'll recreate these as Quick Replies on your new platform. Also document any private notes attached to important customer profiles, as these are tied to Whelp's CRM and won't transfer automatically.
Tip: Before exporting, note which integrations are active in your Whelp account (Shopify, Salesforce, Stripe, etc.) and their configurations. Third-party CRM and payment integrations won't transfer — you'll set up equivalent connections on your new platform separately.
