How to Export Your Data from HubSpot Service Hub

HubSpot provides separate export paths for CRM records, conversation history, and service-specific data. CRM exports (contacts, companies, tickets) are available from the record index pages as CSV, XLS, or XLSX files. Conversation inbox data requires the Conversations API — there is no built-in UI export for chat and messaging history.

Export CRM Records (Contacts, Tickets, Companies)

Navigate to CRM > Contacts (or Tickets, Companies, Deals) in HubSpot. Open the view you want to export, then click Export in the top right of the table. Choose your file format (CSV, XLS, or XLSX) and select whether to include all properties or just the columns visible in your current view. You can also include associated records. HubSpot emails you a download link when the export is ready — links expire after 30 days. You can complete up to 300 exports within a rolling 24-hour window, with a maximum of 3 running simultaneously.

Export Conversation and Inbox Data

HubSpot does not offer a native UI to bulk-export conversation history from the Help Desk or Conversations Inbox. To export chat transcripts, email threads, and messaging history, you need to use the Conversations API (developers.hubspot.com/docs/api-reference/conversations-conversations-v3/guide). This requires developer resources or a third-party tool. For individual contacts, you can export their data (including associated activities) from CRM > Contacts > [Contact] > Actions > Export contact data under GDPR compliance settings.

CRM Backup (Full Account Snapshot)

Go to Settings > Import & Export > Back up CRM data to download a full backup of your CRM records. This captures contacts, companies, deals, tickets, and their property values at a point in time. Note that backups do not include conversation threads, workflow logic, or knowledge base articles — those need separate exports.

Workflows and Automation Logic

HubSpot's workflow export (Automation > Workflows > Table actions > Export view) only captures metadata: workflow name, active status, enrollment counts, and creation date. It does not export the actual trigger conditions, action steps, or branching logic. You can export individual workflows as PNG images for visual reference. Document your automation rules manually — screenshot trigger conditions, copy action configurations, and note any delays or branching logic before canceling your account.

Service-Specific Data

Customer feedback survey responses can be exported from the survey analytics page. Knowledge base articles can be exported as HTML files. Customer success workspace records have their own export option. Export these separately before canceling — they are not included in the standard CRM backup.

Tip: Start your data export at least a week before you plan to cancel. The Conversations API export takes developer time to set up, and large CRM exports can take hours to process. HubSpot retains workflow action logs for only 180 days in detail, so export sooner rather than later if you need historical automation data.
