How to Export Your Data from HappyFox
HappyFox provides built-in ticket export through its Reports module, knowledge base CSV export, and a REST API for programmatic data retrieval. Unlike many help desks, HappyFox gives you multiple paths to get your data out — but each covers different data types, so you'll need to use more than one method for a complete export.
Exporting Tickets (CSV or XLSX)
Navigate to Reports >> Exports from the module switcher, then click the "+" button to create a new export. Choose a date range and filter by Created time, Resolved time, or Updated time. You can add additional ticket-level filters and select which categories and fields to include. On the final step, pick your format — .xlsx or .csv — and click Export. HappyFox processes the export in the background and emails you a download link when it's ready. Note: download links expire after 3 days, so save the file promptly. Only agents with the "Export reports" managerial permission can access this feature.
Exporting Knowledge Base Articles
Go to Knowledge Base >> Articles, select the article type (External, Internal, or Contact Group), and click the Export icon. The CSV generates in the background and downloads automatically. The export includes Article ID, Title, Section Name, Views, Content, Tags, Created/Updated timestamps, and article state. Only published articles are included — draft articles are excluded. You need the "Manage Knowledge Base Sections and Articles" permission to export.
Using the HappyFox REST API
HappyFox offers a REST API (v1.1) for programmatic access. Key endpoints include /api/1.1/json/tickets/ for tickets, /api/1.1/json/users/ for contacts, /api/1.1/json/contact_groups/ for contact groups, and /api/1.1/json/kb/articles/ for knowledge base content. Authentication uses Basic HTTP with an API key and auth code generated under Manage >> Integrations >> API. API rate limits vary by plan: Basic gets 100 requests/minute, Team gets 200, Pro gets 400, and Enterprise Pro gets 800. If you're on the EU data center, use yourcompany.happyfox.net instead of .happyfox.com.
Exporting Contacts
Contact data can be exported via the API's contacts endpoint. HappyFox also supports contact import from spreadsheets, so if you imported contacts originally, you may already have a local copy. Use the /api/1.1/json/users/ endpoint to retrieve all contacts with custom fields and contact group associations.
What You Cannot Export Directly
Smart Rules (automation workflows), SLA configurations, canned actions (macros), ticket templates, and custom dashboard layouts are not included in any export. Document these manually: screenshot your Smart Rule conditions and actions, copy canned action text, and record your SLA thresholds and work schedules. You'll recreate these as auto-replies, quick replies, and SLA policies in your new platform.
Tip: Start with the ticket export (Reports >> Exports) for your historical records, then use the API for contacts and KB articles. Save your export preferences in HappyFox — you can reuse them if you need to run the export again before your download links expire.
