Migrate Your WhatsApp Conversations
Part of the Respond.io migration guide
Step-by-step guide to moving your WhatsApp Business conversations and contacts from Respond.io to a new platform.
Moving WhatsApp Business from Respond.io
Respond.io operates as a WhatsApp Business Solution Provider (BSP). When you connect a WhatsApp number through Respond.io, the number is registered to Respond.io's WhatsApp Business Account (WABA) infrastructure. Migrating away means transferring your phone number registration from Respond.io's BSP to your new platform's WABA.
Step 1: Verify Your Meta Business Account
Before making any changes, log into Meta Business Manager (business.facebook.com) and navigate to WhatsApp Manager. Confirm that your Meta Business Account owns the WABA associated with your phone number. Verify your business is in good standing with Meta — any pending verifications or policy violations could delay the migration process.
Step 2: Disable Two-Factor Authentication
If two-factor authentication (2FA) is enabled on your WhatsApp Business Account, disable it before initiating the migration. Meta requires 2FA to be off during BSP transfers. In Respond.io, check your WhatsApp channel settings for 2FA status. You can re-enable 2FA after the number is connected to your new platform.
Step 3: Save Your Message Templates
Your approved WhatsApp message templates are stored in Meta's system and should carry over during the BSP migration. However, document them separately as a backup — copy the template names, content, and category (utility, marketing, authentication). If you've built Respond.io Workflow automations that reference these templates, note those connections too.
Step 4: Disconnect from Respond.io
In Respond.io, navigate to Workspace Settings > Channels, locate your WhatsApp channel, and remove the integration. This releases the phone number from Respond.io's BSP registration. Allow time for the disconnection to propagate through Meta's systems — this typically takes a few minutes but can occasionally take longer.
Step 5: Connect to Your New Platform
Use your new platform's WhatsApp connection flow (typically OAuth-based) to register the same phone number. Your green checkmark verification, display name, and quality rating carry over — these are tied to your Meta Business account, not to Respond.io. The reconnection typically takes 2-5 minutes once the number is fully released.
Mobile App Conflict
If you were also using the WhatsApp mobile app or WhatsApp Business app with the same number, note that Meta only allows one active registration per phone number. The API registration through Respond.io would have already superseded your mobile app. When migrating to your new platform, the number will re-register under the new BSP's API — no separate mobile app action is needed.
Important: There's a brief gap between disconnecting from Respond.io and connecting to your new platform where incoming WhatsApp messages won't be routed to any inbox. Plan the switchover during your lowest-traffic hours to minimize missed messages. Messages sent during this gap are not lost by Meta — they'll be held briefly — but they won't appear in either platform's inbox.
